Refund & Cancellation Policy

This Refund & Cancellation Policy applies to all subscriptions to the Ref LeakLog service operated by Elite Tech Global LLC, a Utah limited liability company. This policy supplements and should be read together with our Terms of Service.

1. Subscription Plans

Ref LeakLog offers the following monthly subscription plans:

  • Independent Tech: $29 per month — 1 user seat
  • Shop / Business: $89 per month — up to 6 user seats

All subscriptions are billed monthly in U.S. Dollars through our payment processor, Lemon Squeezy (Lemon Squeezy LLC). Applicable taxes may be added at checkout.

2. Free Trial

2.1 Trial Period

New organizations are eligible for a fourteen (14) day free trial. During the trial, you have full access to the features of your selected plan. No payment is required to start a trial.

2.2 Trial Expiration

At the end of the trial period, your account will transition to read-only mode. You will still be able to view and export your existing data but will not be able to log new service events or create new records. No payment method is collected during the trial and no charges are made automatically.

2.3 Subscribing After Trial

To continue using Ref LeakLog with full access after the trial period, you must actively choose a subscription plan and complete the checkout process. Your subscription begins immediately upon successful payment. Your data is preserved and fully accessible once you subscribe.

3. Cancellation

3.1 How to Cancel

You can cancel your subscription at any time by:

  • Navigating to your account billing settings within the Ref LeakLog dashboard and using the cancellation option provided through Lemon Squeezy
  • Contacting us at support@refleaklog.app and requesting cancellation

3.2 Effect of Cancellation

When you cancel your subscription:

  • Access continues through the end of your current billing period. You will not lose access immediately upon cancellation.
  • No further charges will be billed after your current billing period ends.
  • Read-only mode: After your paid period expires, your account transitions to read-only mode. You can continue to view all existing data and generate PDF reports from existing records, but you cannot create new equipment, service events, or other records.
  • Data retention: Your data is retained for at least thirty (30) days after your subscription ends to allow you to export your records. After this period, data may be permanently deleted. We recommend exporting all necessary records before or shortly after cancellation, especially compliance records that may be needed for EPA audit purposes.

3.3 Reactivation

If you wish to reactivate your subscription after cancellation, you can do so through your account billing settings at any time while your account remains active. If your data has already been deleted, it cannot be recovered.

4. Refund Policy

4.1 General Policy

Subscription fees are generally non-refundable. We do not provide prorated refunds for partial months of service. When you cancel, you retain access through the end of your current billing period, which represents the value of your most recent payment.

4.2 Exceptions

We may, at our sole discretion, issue a full or partial refund in the following exceptional circumstances:

  • Duplicate charges: If you are accidentally charged more than once for the same billing period
  • Billing errors: If a charge is processed incorrectly (wrong amount, unauthorized charge after cancellation)
  • Extended service outage: If the Service experiences a material outage lasting more than seventy-two (72) continuous hours that prevents you from accessing core functionality

4.3 How to Request a Refund

Refund requests must be submitted within fifteen (15) days of the charge in question by contacting us at support@refleaklog.app. Please include:

  • Your account email address
  • The date of the charge
  • The reason for your refund request
  • Any supporting documentation (e.g., screenshots of duplicate charges)

We will review refund requests and respond within five (5) business days. If approved, refunds will be processed through Lemon Squeezy to the original payment method. Refunds may take five to ten (5–10) business days to appear on your statement, depending on your financial institution.

4.4 Chargebacks

We encourage you to contact us first before initiating a chargeback or payment dispute with your bank or credit card company. We are committed to resolving billing issues promptly and fairly. Initiating a chargeback without first contacting us may result in suspension of your account pending resolution.

5. Plan Changes

5.1 Upgrading

You may upgrade from the Independent Tech plan to the Shop / Business plan at any time through your account billing settings. Upgrades take effect immediately, and billing adjustments (prorated credits or charges) will be handled by Lemon Squeezy.

5.2 Downgrading

You may downgrade from the Shop / Business plan to the Independent Tech plan. Downgrades take effect at the start of your next billing period. Before downgrading, you must ensure your organization is within the seat limit of the lower plan (1 active user). If your organization has more active users than the new plan allows, you will need to deactivate excess users before the downgrade can take effect.

6. Price Changes

We reserve the right to change subscription prices. If we increase prices, we will provide at least thirty (30) days' advance written notice. Price increases take effect at the start of the billing period following the notice period. If you do not agree with a price change, you may cancel your subscription before the new price takes effect.

7. Failed Payments

If a payment fails (e.g., expired card, insufficient funds), Lemon Squeezy will attempt to retry the charge according to their retry schedule. During this period, your access to the Service continues. If payment is not resolved after the retry period, your subscription status will change to expired and your account will transition to read-only mode. You can restore access by updating your payment information and successfully processing a payment.

8. Compliance Data Considerations

Important: Given the regulatory nature of the data stored in Ref LeakLog, we strongly recommend that you export all compliance records (equipment logs, service event histories, leak rate calculations, and repair records) before your subscription ends. EPA regulations may require you to maintain these records for audit and inspection purposes regardless of whether you continue using Ref LeakLog. We are not responsible for compliance record gaps resulting from account expiration or data deletion.
